This Privacy Policy explains how AcademyOS processes personal data in relation to the public website and the AcademyOS platform, including how analytics and marketing technologies are used on the public website.
1. Who this policy applies to
This policy applies to visitors of the public AcademyOS websites, available on www.e-academyos.ro and www.e-academyos.com, and to people who contact us through public forms, request a demo or create a trial account.
The AcademyOS application used by schools and educational institutions is a separate environment. Data entered inside the application is processed according to the contract between AcademyOS and the institution, and is not used for public website marketing tracking.
2. Data controller and contact
For the public website and our own commercial communication, AcademyOS acts as data controller. For data entered by an institution inside the AcademyOS platform, the institution generally acts as controller and AcademyOS acts as processor, according to the applicable contract.

3. What data we may process on the public website
Depending on how you use the public website, we may process:
- contact details you submit voluntarily, such as name, email, phone number, institution name and message;
- technical data, such as IP address, browser, device type, approximate location derived from technical signals, visited pages and timestamps;
- consent preferences for Analytics and Marketing cookies;
- interaction data, such as clicks on pricing buttons, contact form submissions and page views.
4. Why we process this data
We process data for the following purposes:
- to respond to demo requests, contact messages and commercial inquiries;
- to operate, secure and improve the public website;
- to understand general website performance and user journeys through analytics;
- to measure marketing campaigns, conversions and audience performance, only according to your consent;
- to comply with legal obligations and protect our rights.
5. Legal bases
Depending on the situation, processing may be based on:
- consent, for optional Analytics and Marketing cookies;
- legitimate interest, for website security, fraud prevention and answering business inquiries;
- contract or pre-contractual steps, when you request a demo, create a trial account or discuss using AcademyOS;
- legal obligation, when we must keep or disclose certain data under applicable law.
6. Google Tag Manager, Google Analytics 4, Google Ads and Google signals
On the public website we use Google Tag Manager to manage analytics and marketing tags in a controlled way. Through Google Tag Manager we may use Google Analytics 4 and, if you accept Marketing cookies, Google Ads-related signals, remarketing, advertising audiences, ad personalization and Google signals / enhanced insights.
Google Consent Mode v2 is implemented so that analytics and advertising signals are denied by default before you make a choice. Analytics and Marketing signals are only enabled according to your consent preferences.

7. What we do not send to Google
We do not send Google personal data from the AcademyOS application, such as CNP/personal identification numbers, student or parent emails, phone numbers, company tax IDs, student names, teacher names, institution names from the application, financial records, invoices, contracts, documents or tenant slugs.
Events sent from the public website are designed to describe general actions, such as page views, clicks on pricing calls to action or successful contact form submissions, without sending sensitive or application-level data.
8. Cookies and consent choices
The public website uses a cookie banner with separate categories for Necessary, Analytics and Marketing cookies. Necessary cookies are required for the website to work and cannot be disabled from the banner.
You can reject optional cookies, accept all categories or configure Analytics and Marketing separately. Your choice is stored in your browser and can be reset by deleting cookies.
9. Data retention
We keep personal data only as long as necessary for the purposes described above, unless a longer retention period is required by law. Contact requests and commercial communication may be kept for a reasonable period to manage follow-up and business records. Analytics and marketing data are retained according to the settings of the relevant tools and your consent choices.
10. Who we may share data with
We may share data with service providers that help us operate the website, communicate with users, host infrastructure, secure the service, analyze traffic or run marketing campaigns. These providers process data under applicable data protection rules and only for the purposes described in this policy.
11. International transfers
Some providers, including Google, may process data outside the European Economic Area. Where applicable, such transfers rely on appropriate safeguards, such as standard contractual clauses or other mechanisms recognized by data protection law.
12. Your rights
